    Serves as the principal secretarial support to a department head. This classification is restricted for use in the office of a chairperson of a large academic department, a director of a large approved center or institute, a director of a budgeted large administrative department, or a higher-level administrative officer. Responsible for independent performing highly responsible and confidential clerical duties. May be required to supervise clerical staff and/or assume considerable responsibility for office management. A thorough knowledge of the policies and procedures of the employing unit as well as a familiarity with overall University policy is necessary to conduct the assigned work.

    Performance evaluation is based on the coordination and accomplishment of office activities within established policies

    About the Department and/or College

    Major/Essential Functions

    Serve as backup to the Executive Associate in overseeing the Dean's suite routine and event activities.
    Greet guests entering the Dean's Suite and answer phone calls on the main SVM telephone line.
    Assist with the Deans travel, including but not limited to making airline, hotel, and car rental reservations, scheduling meetings while on official travel, preparing and submitting the TTU Travel Application and expense report and ensuring that all TTU Travel Policies are followed.
    Manage the Executive Vehicle.
    Complete food forms and other related documents required for the Procurement Card and/or Travel submission.
    Monitor the Dean's Suite supplies and refreshments, including office supplies, paper goods, coffee, and visitor gifts and place orders, as needed.
    Track and reorder supply of SVM employee uniforms.
    Maintain supplies and cleanliness related to adjacent conference rooms and staff/faculty kitchen.
    Other duties as assigned.

    Knowledge, Skills, and Abilities

    Proven proficiency/knowledge in Microsoft Office applications including excel, word, and Outlook.
    Ability to be customer service oriented and demonstrate excellent communicayiton skills (Verbal, written, and electronic).
    Ability to be dependent upon.
    Organization skills.
    Ability to work with a sense of urgency bias towards action in fast-paced environment.
    Ability to multitask and must be flexible.
    Ability to lean computer systems and software as needed.

    Required Qualifications

    Proficiency in written and mathematical processes that may be reflected by the completion of high school or the equivalent. Four years progressively responsible clerical experience, including one-year supervisory experience. Additional education and/or related experience to equal four years may substitute on a year for year basis.
